Direct From the Webinar: Questions and Answers on EMIS Docman Filing

In our recent webinar, we explored the functionalities and benefits of MyBotGP for EMIS Docman Filing. We received some great questions and compiled the most frequent ones, along with our detailed responses. Whether you’re curious about system requirements, capabilities, or costs, this Q&A aims to provide comprehensive clarity on how MyBotGP for Docman filing can automate your document filing and coding processes.

Q1. Business case?

A Practice with a 10,000 list will receive about 100 letters daily; that’s a staggering 26,000 a year!

MyBotGP will do all the admin for all of them in almost real-time, so you just need to do the final piece. This will save hundreds of hours, remove errors, and free teams to do other work!

Q2. Do you need Docman already installed, or does it work with EMIS?

Yes, for this version, you need Docman, but we are working on a workflow MyBotGP that will be live in 6-8 weeks and will work without Docman directly with EMIS.

We have a waiting list for that, and SystmOne TPP is Attaching Documents. If you want to join the waiting list, please send us an email at enquiries@jifjaff.co.uk  !

Q3. Does the MyBotGP make a medical decision?

No, but it does everything else. It picks up all letters, validates, populates all fields, codes/categorises, adds to the record, and sends it to the appropriate person (e.g., file no action, pharmacy, coders, clinician).

Q4. We use intellisense.

Yes, it works with or without Intellisense

Q5. Please go through the costs.

MyBotGP Docman Filing pricing is made up of two parts:

  • £499 per year for MyBotGP
  • 30p * list size, i.e. 10,000 patients, so £3,000
  • Total £3,499 + VAT for 10,000 patients

Q6. How does the system know who gets what letter?

You tell it! (e.g., file no action, pharmacy, coders, clinician).

Q7. Are the costs based on a weighted list or a raw list?

The costs are based on the raw list.

Q8. What is the length of the contract/subscription?

The standard subscription length is annual, renewing each year.

Q9. Does the 30 per patient cover all aspects, including Docman and Normal Pathology filing?

The costs for Normal Pathology Filing and Docman Filing are the same, but both products are charged individually:

Normal Pathology Filing Pricing for EMIS (Web) or SystemOne TPP:

  • £499 per year for MyBotGP
  • 30p * list size, i.e. 10,000 patients, so £3,000

EMIS Docman Filing Pricing:

  • £499 per year for MyBotGP
  • 30p * list size, i.e. 10,000 patients, so £3,000

Q10. How many letters can the system process in 24 hours?

Hundreds!

Q11. Can the bot send the letter to the named GP rather than other criteria?

Yes, you can send it where you want. We built it like this because every Practice has different protocols, so you can tweak it as you wish.

Q12. How does it deal with handwritten letters or partial handwritten letters?

Yes, if the handwriting is immaculate and easy to understand, but unfortunately, that is rarely the case!

Q13. Are there additional costs?

No. Unlimited letter types and pages

Q14. Can any discharge letter be filed if no action is required?

Yes!
