On the 22nd of November 2024, we hosted a webinar on our product – MyBotGP EMIS Docman Filing. This innovative solution is set to be a game-changer for NHS Primary Care, offering an automated approach to managing document filing. During the webinar, we answered a variety of key questions from attendees, which we’ve summarised below to give you a clearer understanding of how this product works.

Q1: Is it possible for us to set up an exception folder for specific letters or letters we want not to be touched?  

A: Yes, it is possible to set up an exception folder. 

Q2: Can we set specific letter types for particular people or folders?  

A: Yes, we can set specific letter types. 

Q3: Can we file letters that do not need to be seen automatically?  

A: Yes, we can file letters that do not need to be seen automatically. 

Q4: Can it use IntelliSense?  

Yes, it can use IntelliSense. 

Q5: Does it code?  

A: Yes, the letter then validates and files as well as triages appropriately 

Q6: I understand that MyBotGP requires a stand-alone PC to run independently. Is that correct?  

A: That’s correct; either a hosted machine or a stand-alone PC/Laptop is possible.  

Q7: Can more than one MyBotGP be on the same machine?  

A: Yes, multiple MyBotGP’s can be on the same machine. 

Q8: Can it pick up urgent 2-week wait letters and code, then triage?  

A: Yes, it can. 

Q9: Can it use my templates?  

A: Yes, it can use your templates. 

Q10: How will it know which clinician to send a document to?  

A: We usually use ‘usual GP’, so not as per letter type but the patient.  

Q11: What happens if a clinician is not in the office?   

A: It depends on how you distribute the letters; you can make folders or send them to appropriate teams. 

Q12: How does it know when something needs to be actioned on a letter?   

A: It triages the appropriate person to highlight. You just need to focus on the final place.  

Q13: Can a letter be sent to more than one place?  

A: Yes, a letter be sent to more than one place. 

 Q14: Can you set tasks?  

A: Yes, you can set tasks. 

Q15: In terms of time frame, how long can it take to clear the backlog of 3000 letters? 

A: 30 to 45 sec per letter. It just runs all the time, 24*7, 365 days.   

Q16: As mentioned before, we use the usual GP. Are you saying each GP will need a folder to file it in, and then the GP or a staff member would redistribute if the usual GP is not in?   

A: Either is possible, whichever approach you find best. You can create separate folders and give access accordingly.  

Q17: How long does it take to train the system?   

A: It depends as much as 1 minute per letter; we support the first 25 letters to train the system with the letter.
