MyBotGP Docman Filing Webinar Recap: Key Takeaways and Q&As
On the 24th of September 2024, we hosted a webinar unveiling our groundbreaking product – MyBotGP EMIS Docman Filing. This innovative solution is set to be a game-changer for NHS Primary Care, offering an automated approach to managing document filing. During the webinar, we answered a variety of key questions from attendees, which we’ve summarised below to give you a clearer understanding of how this product works.
Q1: Will this product be available within TPP, or is it just available for Docman?
A: Yes, it will be available for TPP within a few months.
Q2: From an IG risk standpoint, what would be the potential mitigations for the risk that details within a letter are missed or misunderstood, leading to the letter being incorrectly filed, ultimately impacting patient care?
A: We comply with NHS pre-requisites, and MyBotGP has DPIA, DTAC, and DCB 0129. As part of this, MyBotGP provides a comprehensive audit trail and logs to support tracking any potential errors. As per “practice NHS Guidelines”, you will continue to monitor the filing to ensure you remain aligned with best practices and reduce the risk of incorrect filing due to outdated values.
Q3: How much does it cost?
A: Cost is made up of two parts:
- £499 per year for MyBotGP.
- 30p * list size, i.e., 10,000 patients, so £3,000.
Total: £3,499 + VAT.
Q4: How does it manage duplicates? Patients are no longer registered. Does it reject these letters?
A: Regarding duplicates, MyBotGP does not delete anything from your system, and these remain untouched. Regarding patients, a rule can be applied or listed as an “exception” for you to check.
Q5: Can it sit on the same computer as another MyBotGP product, i.e., Normal Pathology Filing or Repeat Prescriptions?
A: Yes, it can sit on the same computer, and you can schedule when each software should run.
Q6: Is there software to redact?
A: As no data leaves the practice, there is no need for a redacting function.
Q7: What happens if there isn’t an NHS number?
A: MyBotGP will place the file in the exceptions folder for colleagues to review.
Q8: Does MyBotGP need its own computer?
A: Yes, and any type is possible. PC/laptop or hosted machine (it’s up to you).
Q9: How much time would it take to set it up and go live? Is this for the practice to do and set up the rules, or do you as a company do this for them?
A: It takes a few days to set up and go live.
Q10: What if different hospitals/services format their letters, e.g., ENT letters, differently and/or change the way they are formatted?
A: No problem; it recognises different formats of the same letter or the same letter from different places.
Q11: How much time does it save – Automation vs. Manual?
A: A practice with a list of 10,000 receives approximately 120 letters a day; that’s 37,440 a year! All of these will be managed by MyBotGP, saving 1,872 hours a year.
Q12: How long does it take to run/process, say, 100 letters?
A: It takes between 30-45 seconds to process a letter. So, assuming 45 seconds per letter, 100 letters should take around 1 hour and 15 minutes.
